Synopsis of Solution Design

  • Staffing: Employees are organized into cross-functional teams, meeting as needed to collaborate on projects. While most use desktop computers, many also rely on laptops and tablets for mobile access to information. The executive management team primarily uses laptops and tablets with various collaboration applications such as Microsoft Teams, Google Meet, Zoom, and other communication tools.
  • Sources: Meeting rooms will be equipped with dedicated PCs or allow for personal laptops, featuring digital/analog HDMI/VGA outputs. Each room must support mobile devices through both wired and wireless connections, ensuring seamless integration of different user devices.
  • Display Requirements: Each meeting room, designed to accommodate 3-10 people, will feature a wall-mounted flat panel display. This display will include integrated loudspeakers, which are essential for clear communication and presentation. The majority of rooms will have windows with shades to manage ambient light effectively.
  • Audio Requirements: Given the small group sizes and to maximize efficiency, the integrated loudspeakers of the displays will suffice for sound reinforcement. For video and audio conferencing, small-form-factor microphones will be installed, either on tables or ceilings, to minimize clutter on limited table space occupied by laptops and mobile devices.
  • Control Requirements:The meeting rooms will be dedicated to localized collaboration, necessitating a simple control system. This system will manage the power for the display and allow users to switch between wired and wireless inputs easily. A push-button-style control interface will be implemented, keeping the solution user-friendly while adhering to the limited budget.
  • Facility Limitations: Due to spatial constraints, none of the meeting rooms can accommodate dedicated equipment racks. All AV equipment will be designed for mounting to fixed furniture within each area, ensuring a clean and organized setup without compromising functionality.
