Overview: The goal is to upgrade a series of meeting rooms to facilitate the recording of video and computer-based content. This enhancement will allow employees who are unable to attend meetings to catch up on important discussions and presentations through recorded playback and live streaming on social media or company websites.

Synopsis of Solution Design

  • System Operation: The AV system will be primarily operated by meeting attendees, ensuring a user-friendly experience for all participants.
  • Input – Output sources: Each meeting room will include a resident PC with HDMI video output, and an HDMI connection point for a laptop a wall-mounted PTZ camera is needed in order to record the presenter and participants.
  • Input – Output Sources:
    Resident PC: Each meeting room will include a resident PC equipped with HDMI video output. Laptop Connectivity: An HDMI connection point will be available for presenters' laptops. Camera Setup: A wall-mounted PTZ (pan-tilt-zoom) camera will be installed to effectively record both the presenter and participants.
  • Display Requirements:
    Capacity: The room will typically support 25 to 35 attendees. Projection System: A front projection system will be implemented to ensure visibility of content from the back of the room, accommodating the average number of participants.
  • Audio Requirements:
    Audio Output: The resident PC will deliver analog stereo audio for the laptop connection, with audio embedded in the HDMI output. Microphone Setup: A wireless or ceiling microphone will be provided for the meeting leader, along with sound reinforcement to ensure that all participants can clearly hear the presentation.
  • Control Requirements:
      Presenter Control: The meeting presenter will have the ability to:
    • Power the system on and off
    • Select the source to be displayed
    • Start or stop AV recording
    Common User Experience: To ensure consistency, a common graphical user interface (GUI) will be used across all upgraded meeting rooms, allowing for a seamless user experience regardless of the specific room.
  • Special Requirements:
      Recording Options:
    • The system will allow recordings to be saved to a USB flash drive, with a USB port easily accessible within the meeting room.
    • If a USB drive is not used, recordings will be saved to a designated network location.
    Recording Indicator: A visual indicator (such as a light) will be implemented to inform attendees that the meeting is being recorded, adhering to company policies and promoting transparency.
